These Terms & Conditions are provided for general business use and may be updated from time to time. For legally binding contracts, Event Line may issue a dedicated quotation, proposal, agreement, or purchase order terms.

Introduction

Welcome to Event Line. These Terms & Conditions govern your use of our website, quotation requests, event management services, venue coordination services, and any related communication with our team.

By requesting a quotation, approving a proposal, making a payment, or using our services, you agree to these Terms & Conditions unless otherwise agreed in writing.

Scope of Services

Event Line provides corporate event management and coordination services across Saudi Arabia, including but not limited to:

  • Corporate meetings
  • Workshops and training days
  • Conferences and forums
  • Venue and hotel coordination as part of an event package
  • Catering and coffee breaks
  • Audio-visual setup
  • Guest registration and reception
  • Photography and media coverage
  • Vendor coordination
  • Event logistics and operational follow-up

Event Line does not position itself as a tourism operator and does not provide standalone tourism trips or standalone hotel booking services unless the required licenses and approvals are obtained.

Quotations and Proposals

All quotations issued by Event Line are based on the information provided by the client, including event date, city, number of guests, venue requirements, selected services, and requested experience level.

Quotations may be subject to change if:

  • The number of guests changes
  • The event date or city changes
  • The selected venue changes
  • Supplier or hotel prices change
  • Additional services are requested
  • The quotation validity period expires

A quotation is not considered confirmed until it is accepted by the client and the required payment or deposit is received.

Quotation Validity

Unless stated otherwise, quotations are valid for the period mentioned in the quotation. Event Line reserves the right to revise prices after the validity period expires.

Venue availability and supplier availability are not guaranteed until confirmation and payment requirements are completed.

Payments

Payment terms will be shown in the quotation or invoice. Event Line may require an advance payment, deposit, milestone payment, or full payment depending on the event type and supplier requirements.

Available payment methods may include:

  • Mada
  • Visa
  • Mastercard
  • American Express
  • Apple Pay
  • STC Pay
  • Bank transfer
  • Corporate purchase order, subject to approval

Online payments may be processed through approved payment gateways such as Moyasar or other licensed payment providers.

Taxes and Invoices

All prices may be subject to VAT where applicable in accordance with Saudi regulations.

Event Line may issue invoices, tax invoices, simplified tax invoices, receipts, credit notes, or debit notes according to applicable requirements and the client's payment status.

Electronic invoicing may be processed through ZATCA-ready or ZATCA-compliant systems or approved providers where applicable.

Client Responsibilities

The client is responsible for providing accurate and complete event details, including:

  • Event date and time
  • Location or preferred city
  • Number of guests
  • Required services
  • Branding requirements
  • Guest protocol requirements
  • Approvals or special permits if required
  • Any restrictions related to venue, guests, security, or suppliers

Any delay in providing required information may affect delivery timelines, pricing, or availability.

Venue and Supplier Availability

Event Line coordinates with venues, hotels, halls, suppliers, and service providers based on client requirements. Availability, pricing, and final confirmation depend on each venue or supplier's policies.

Event Line does not claim ownership of hotels, venues, or supplier facilities unless explicitly stated.

Changes and Revisions

Any change requested after quotation approval may require a revised quotation and may affect pricing, timeline, availability, or delivery scope.

Major changes may include:

  • Guest count increase
  • Venue change
  • Date change
  • Menu change
  • Additional equipment
  • Additional staff
  • Extended event hours
  • Additional branding or production requirements

Cancellation Policy

Cancellation terms may vary depending on the confirmed venue, suppliers, and event date.

The client may be responsible for cancellation charges, non-refundable deposits, supplier commitments, or any costs already incurred by Event Line.

Specific cancellation terms will be included in the quotation, proposal, or agreement where applicable.

Refunds

Refund eligibility depends on the payment stage, supplier commitments, venue terms, and costs already incurred.

Approved refunds, if any, will be processed according to the original payment method or another approved method, subject to bank or payment gateway processing times.

Force Majeure

Event Line shall not be liable for delays, changes, or failure to perform due to circumstances beyond reasonable control, including but not limited to natural disasters, government restrictions, public safety requirements, strikes, transport disruption, venue closure, technical outages, pandemics, or other force majeure events.

Event Permits and Approvals

Some events may require permits, approvals, licenses, or special arrangements depending on the event type, location, audience size, entertainment elements, or regulatory requirements.

Unless specifically included in the quotation, official permits and government approvals are not included in the service price.

Intellectual Property and Branding

Any branding, logos, designs, presentations, content, or materials provided by the client remain the property of the client.

Event Line may not be held responsible for third-party intellectual property issues arising from materials supplied by the client.

Event Line may use non-confidential event photos or project references for portfolio and marketing purposes only with client permission or where agreed.

Confidentiality

Event Line will treat client information, event details, quotations, and business-related information as confidential unless disclosure is required to deliver the service or comply with legal requirements.

Limitation of Liability

Event Line will make reasonable efforts to deliver services professionally and according to the agreed scope. However, Event Line shall not be liable for indirect losses, loss of profit, reputational damage, or delays caused by third parties, venues, suppliers, or circumstances outside its reasonable control.

Communication

Official communication may be conducted through email, WhatsApp, phone, client portal, or approved written channels.

The client is responsible for ensuring that contact details are accurate and that authorized representatives are clearly identified.

Governing Law

These Terms & Conditions are governed by the applicable laws and regulations of the Kingdom of Saudi Arabia.

Event Line may update these Terms & Conditions from time to time. The latest version will be available on the Event Line website.
